Common questions
Where is my data stored?
What you record is stored on your device. It isn’t sent to or collected by us. See the Privacy Policy.
How do I cancel a subscription?
Open Settings on your iPhone, tap your name, then Subscriptions. Choose the app and tap Cancel Subscription. You can keep using it until the end of the paid period. Refunds are handled by Apple.
How much do paid plans cost?
Prices are shown in the App Store in your local currency.
What’s the difference between Free and Pro?
Logging is free and shows the last 10 days. Pro keeps your full history, and adds iCloud backup and Apple Health import. Your older records are never deleted — Pro shows them again any time.
Can I use pounds and miles?
Yes. In Settings > Profile > Units, choose kg · cm · km or lb · ft/in · mi. Your recorded data doesn’t change; only what’s shown and entered.
iCloud backup isn’t syncing
Make sure you’re signed in to iCloud and backup is turned on in the app. It updates the next time you open the app.
Apple Health import isn’t working
Allow weight and body fat access in the permission prompt. You can check it in Settings > Health > Data Access & Devices.
What’s the difference between Free and Basic?
The free plan limits how many people you can add. After that, you can choose a plan for unlimited people. Your data stays when a plan lapses.
I’m not getting reminders
Check Settings > Notifications > Keep In Touch, and that no Focus mode is silencing them.
About other people’s information
You can record information about family, friends and acquaintances. Please collect and record it lawfully. See the Terms of Use.
What can I track?
Net worth, income, weight, study time, sales — any number you want to keep. Tap “+” on a graph, enter the number, save. Units and dates are automatic. Units and currency follow your region, and you can enter any unit you like.
Can I export my data?
Yes, as CSV. Everything stays on your device.
What’s the difference between Free and Pro?
Logging, notifications, backup and CSV export/import, and the app lock are free. Free allows up to 10 customers across all businesses. Pro removes limits on customers, collections, fields, calculations and Home items, and adds per-customer analytics. Your records are never deleted.
How do I move to a new phone, or use the same data on iPhone, iPad and Mac?
If Customize > iCloud sync is on (the default), just install One CRM on your iPhone, iPad or Mac signed in with the same Apple Account and the same content appears. The data is stored in your own iCloud and we can’t see it. If sync is off, export a backup file on the old device from Customize > Backup & CSV and import it on the new one from the same screen.
Sync stopped after I changed iCloud accounts
To avoid mixing data from different accounts, sync stops when the account changes. Tap “Resume sync with this iCloud” under Customize > iCloud sync to save this device’s data to the current iCloud.
Apple Intelligence features don’t appear
Natural-language search and entry need an Apple Intelligence-capable iPhone with Apple Intelligence & Siri turned on. Everything else works without it.
I can’t turn on the app lock
The lock uses your device passcode (or Face ID / Touch ID). Set a passcode in Settings first.
What’s the difference between Free and Supporter?
You can add up to 10 memos, 10 tasks and 10 manual health entries each for free. Supporter (yearly or lifetime) removes those limits and adds CSV export for memos, tasks and health entries. Records you already added are never deleted when you hit a limit — only adding new ones is paused until you upgrade.
Does my data sync between my devices?
Memos and tasks sync automatically across your iPhone, iPad and Mac signed in with the same Apple ID (this can’t be turned off), and Utility keeps dated backups of them in your iCloud Drive. Health entries (weight, body fat, steps) are never stored in or synced through iCloud — they stay only on the device where you recorded them.
Can it connect to Apple Health?
Yes. Opening the Health tab lets you allow Utility to read steps, weight and body fat from Apple Health. Turning on “Write back to Health” in Settings > Health writes your recorded weight and body fat back to Apple Health (on by default).
My calendar events aren’t showing up
Allow Calendar access the first time you’re asked. You can check this in iPhone/iPad Settings > Privacy & Security > Calendars, or on Mac in System Settings > Privacy & Security > Calendars.
